Thank you for your interest in booking a stall at the Stoke Poges Village Fete this year.
Our Fete has become one of the foremost local events and people from miles around visit us to enjoy what we term as a traditional village experience. We regularly have between 1,000 and 1,500 visitors during the course of the day, which makes it a great place for stallholders to sell a variety of goods or raise money for good causes.
Notes for Stall Holders
All pitch sales are on the basis of site only – no gazebos, tables, chairs or other setup items are included with the pitch booking. We have a limited number of tables and chairs available on the day, which are offered on a first come first served basis.
Silly String & Other Messy products
In past years some stalls have sold silly string and other messy products, while we don’t wish to discourage any stallholder from selling their wares, we have been asked by the school not to allow Silly String in particular.
This is due to the fact that the children spray said string everywhere and we have to spend hours on Sunday morning picking it up before the school opens on Monday. We understand that the product is marked as bio-degradable but we still have to pick it up. Therefore any stallholders found to be selling silly string or other products which could cause a large mess will be asked to refrain from selling the products on the day. Your understanding in this matter is appreciated.
Double Booking
Due to a question last year on which companies , groups and charities had already booked stalls, we have included a complete list of stalls that are currently booked on our ‘what’s on page’.
Please note that whilst we endeavour to validate bookings and advise new booking clients on what other stalls are planned, we take no responsibility for companies booking multiple stalls under different sales people.
Wet Weather Policy
The British weather can be a fickle thing, in the event of bad weather on the day or in the days leading up to the event day please ensure you read and understand the Wet Weather policy.
Insurance
Whilst we have public liability for the event, we encourage stall holders to ensure they are fully covered for any events on the day or due to products and services you plan to provide.
Food Hygiene Certificate
Where relevant it is the responsibility of the stall holder to provide and display current Food Hygiene Certification.
On the Day
You can set up from 8.00am onwards, subject to the wet weather policy you can drive onto the field to set up; we ask that all vehicles are off the field by 11.30am, and the show starts at 12.30pm.
You are welcome to erect a gazebo or similar on your pitch. However, please take care not to encroach on your neighbours’ pitches each side of your own.
Power
Power is available to a limited number of pitches, please request any power requirements at the time of order. Also please ensure you arrive onsite early to ensure that your special requirements are able to be catered for.
Parking
There is limited onsite parking available and this is available on a first come first served basis, otherwise it is a matter of parking on the recreation park which adjoins the school. Please do not park on the surrounding roads, while our neighbours are very tolerant it is not acceptable to park in front of their driveways.
Wet Weather Polciy
The policy to be decided leading up to the event date and finally decided the day before or even on the morning of the event. The main purpose of the policy is to protect the field surface, but also to provide the best possible experience for stall holders and visitors alike.
We think the best way to manage the policy is to split it in two depending on weather conditions prior to the event and on the day itself.
Policy 1.
Partial Wet Weather.
(Heavy/light rain prior to the day and the possibility of showers on the day).
Field state to be assessed on the day No guests vehicles on the field.
Possible use of Fete committee 4×4 staying away from running track.
Car displays to be assessed on the day.
Possible continuation of displays and acts.
Use of gymnastics matting to be decided by the school/gymnastics person responsible for the matting.
Stall holders encouraged to attend. Beer tent and disco to continue as a money earner.
Collection of entrance fee’s to be collected.
Catering outlets to attend.
Policy 2.
Total Wet Weather.
Heavy rain prior to the event and heavy rain on the day.
No vehicles on the field.
Cancellation of all displays and acts.
Cancellation of rides (Fee’s will still have to be paid)
All Marquees erected side by side for large covered area Beer tent and disco to continue as a money earner.
Collection of entrance fee’s to be collected if weather protection can be provided at the gates or by collection buckets in the marquees.
Catering outlets to attend. Marquees and catering to be located close together.
Stallholders will be welcome to attend and set up with any weather proofing they can provide for themselves but vehicle access to the field will be restricted.
A refund of booking fees will NOT be available.
